Corporate Photography in Spain: Events, Headshots and Brand Content
Booking a photographer for a company is not the same transaction as booking one for a holiday, and the differences are the parts that get missed: what you are allowed to do with the files, when you get them, and whether anyone answers if the schedule moves.
What companies actually book in Spain
Four things, and they are different jobs:
Conference and event coverage. Barcelona and Madrid host a lot of this. The requirement is usually the same: a set of usable images the same day or the next morning, because the marketing team is posting while the event is still running. Coverage is hours-based and the photographer needs a run sheet, not a location.
Team headshots. A consistent set across a lot of people, usually in one day in one room. What matters is repeatability — same light, same background, same crop — so that the twentieth person matches the first. This is a studio-discipline job even when it happens in a meeting room.
Brand and product content. Hotels, restaurants, wineries. Shot for a specific use — a website header, a campaign, a menu — and the brief matters more than the location. Ask what aspect ratios and crops are needed before the shoot rather than after.
Offsites and team trips. Companies bring teams to Mallorca, Seville and the Costa Brava, and want the trip documented. Closest to travel photography of the four, and the one where a photographer who knows the region genuinely helps.
The licensing question, which decides the price
This is the difference people discover too late. A holiday session gives you a personal-use gallery. Company use is a different product, and it needs saying up front:
- Where will the images appear? Website and social is one thing. Paid advertising is another. Billboards and print campaigns are another again.
- For how long? Some licences are time-limited.
- Exclusive or not? Can the photographer use the images in their own portfolio?
None of this is difficult, but discovering it after the shoot is an awkward conversation and usually a more expensive one. Say "this is for a company, here is where it will be used" in the first message.
Model releases matter too. If identifiable employees appear in marketing material, you need their consent — that is your obligation as the employer, not the photographer's, and it is worth handling before the day rather than chasing signatures afterwards.

Invoicing. A company needs a proper invoice with a tax number, not a payment receipt.
Deadlines are real. "Within two weeks" works for holiday photographs. An event needs a same-day or next-day selection, and that is a different service which is priced differently.
Someone has to be reachable. Event schedules move. Agree in advance who the photographer contacts when the keynote runs forty minutes late.
A second shooter, for larger events. Two rooms running at once cannot be covered by one person, and finding that out on the day is too late.
Cities, briefly
Barcelona — the busiest conference city in Spain and the deepest pool of commercial photographers. Also the most booked; large events lock photographers months ahead.
Madrid — corporate headquarters and headshot work, plus a strong events calendar. Easier to book at short notice than Barcelona.
Valencia — growing conference presence and lower rates than either.
Mallorca and the Costa Brava — offsites and incentive trips rather than conferences.
Getting a quote that means something
Give these five things in the first message and you will get a number you can compare:
- Dates and hours needed
- What kind of work — event, headshots, brand content, offsite
- Roughly how many final images
- Where they will be used, and for how long
- When you need them
